The short version
- Keep it short: a greeting, who you are, what you want and one clear question per line. Short sentences survive translation apps and get faster answers.
- The words that matter most: 起订量 (qǐdìngliàng, minimum order), 阶梯报价 (jiētī bàojià, tiered prices), 打样 (dǎyàng, make a sample), 货期 (huòqī, lead time) and 付款方式 (fùkuǎn fāngshì, payment terms).
- Every phrase below has Chinese, pinyin and English, so you know exactly what you are sending.
- Many suppliers will help a small buyer who is clear and polite. A polite no is common too, and it is useful information.
Why does a message in Mandarin get a different reply?
Many sales staff at Chinese factories and on 1688 work in Chinese all day. An English message often goes to whoever handles export inquiries, gets run through a translation app, or waits until someone has time. A short, clear message in Chinese can be read and answered straight away by the person who knows the product.
It also shows that you know the basics: the words for MOQ, samples and lead time are the same ones the supplier uses with domestic buyers. You don't need to be fluent. You need clear, simple sentences, and the phrases on this page are written that way.
Send text, not a screenshot of text. Suppliers often copy your words into their own system or forward them to the workshop.
How do you start: a 3-line intro
Open with 您好 (nín hǎo), the polite form of hello. Then say who you are, what you want and what you are attaching. Three lines is enough:
| Chinese | Pinyin | English |
|---|---|---|
| 您好!我是[公司名]的[名字]。 | Nín hǎo! Wǒ shì [company] de [name]. | Hello! I'm [name] from [company]. |
| 我们在[国家]开网店,卖[产品]。 | Wǒmen zài [country] kāi wǎngdiàn, mài [product]. | We run an online shop in [country] selling [product]. |
| 我们想定做一款[产品],想了解一下价格和起订量。 | Wǒmen xiǎng dìngzuò yì kuǎn [product], xiǎng liǎojiě yíxià jiàgé hé qǐdìngliàng. | We'd like a custom [product] made and would like to ask about price and minimum order. |
| 附件是参考图片和尺寸,麻烦您看一下,谢谢! | Fùjiàn shì cānkǎo túpiàn hé chǐcùn, máfan nín kàn yíxià, xièxie! | Attached are reference photos and sizes. Could you take a look? Thank you! |
Replace the parts in square brackets. Keep the brackets out of the final message.
How do you ask about MOQ and price tiers?
起订量 (qǐdìngliàng) means minimum order quantity. 阶梯报价 (jiētī bàojià) means a price for each quantity level, which is the easiest way to see how the unit price changes as you order more.
| Chinese | Pinyin | English |
|---|---|---|
| 请问这款的起订量是多少? | Qǐngwèn zhè kuǎn de qǐdìngliàng shì duōshao? | What is the minimum order quantity for this item? |
| 能按500个、1000个、3000个给个阶梯报价吗? | Néng àn wǔbǎi gè, yìqiān gè, sānqiān gè gěi gè jiētī bàojià ma? | Could you give tiered prices for 500, 1,000 and 3,000 pieces? |
| 这个价格是出厂价还是FOB价? | Zhège jiàgé shì chūchǎngjià háishi FOB jià? | Is this price ex-works or FOB? |
| 报价含税吗? | Bàojià hánshuì ma? | Does the price include tax? |
Domestic prices on 1688 are often quoted with or without a Chinese VAT invoice: 含税 (hánshuì) means tax included, 不含税 (bù hánshuì) means without. For export buyers, ask what the price covers so you compare like with like. Our guide to what MOQ means explains why minimums exist and how they are set.

Get a free sourcing quoteHow do you ask for samples and the sample cost?
打样 (dǎyàng) means making a sample to your spec. 样品费 (yàngpǐnfèi) is the sample fee. Many suppliers charge for custom samples, and some refund it when you place the bulk order, so it is worth asking.
| Chinese | Pinyin | English |
|---|---|---|
| 可以先打样吗?样品费多少? | Kěyǐ xiān dǎyàng ma? Yàngpǐnfèi duōshao? | Can you make a sample first? How much is the sample fee? |
| 打样需要几天? | Dǎyàng xūyào jǐ tiān? | How many days does the sample take? |
| 下大货的话,样品费可以退吗? | Xià dàhuò de huà, yàngpǐnfèi kěyǐ tuì ma? | If we place a bulk order, can the sample fee be refunded? |
| 样品可以寄到[国家]吗?运费多少? | Yàngpǐn kěyǐ jì dào [country] ma? Yùnfèi duōshao? | Can the sample be sent to [country]? How much is shipping? |
How do you ask about lead time and payment?
大货 (dàhuò) is the bulk order, as opposed to the sample. 货期 (huòqī) is the lead time. 付款方式 (fùkuǎn fāngshì) is how and when you pay.
| Chinese | Pinyin | English |
|---|---|---|
| 大货的货期是多久? | Dàhuò de huòqī shì duōjiǔ? | What is the lead time for the bulk order? |
| 付款方式是什么? | Fùkuǎn fāngshì shì shénme? | What are your payment terms? |
| 可以30%定金,70%发货前付清吗? | Kěyǐ bǎi fēn zhī sānshí dìngjīn, bǎi fēn zhī qīshí fāhuò qián fùqīng ma? | Could we pay a 30% deposit and the other 70% before shipping? |
| 可以用阿里巴巴信保下单吗? | Kěyǐ yòng Ālǐbābā xìnbǎo xiàdān ma? | Can we order through Alibaba Trade Assurance? |
A 30% deposit with the balance before shipping is a common structure, not a rule. Before paying anything, read our checklist on how to verify a Chinese supplier, and see what Alibaba Trade Assurance covers.
How do you politely ask if they are a factory?
Asking directly is normal and not rude. Plenty of good suppliers are trading companies, so ask to understand who you are dealing with, not to catch anyone out.
| Chinese | Pinyin | English |
|---|---|---|
| 请问你们是工厂还是贸易公司? | Qǐngwèn nǐmen shì gōngchǎng háishi màoyì gōngsī? | May I ask, are you a factory or a trading company? |
| 工厂在哪个城市? | Gōngchǎng zài nǎge chéngshì? | Which city is the factory in? |
| 方便发一下工厂的视频或者营业执照吗? | Fāngbiàn fā yíxià gōngchǎng de shìpín huòzhě yíngyè zhízhào ma? | Would you be able to send a factory video or your business license? |
Our guide to telling a factory from a trading company shows what to look for in the answer.
How do you read common replies, including a polite no?
| Chinese | Pinyin | English |
|---|---|---|
| 没问题 | méi wèntí | No problem. |
| 可以 | kěyǐ | Yes, we can. |
| 这个要看数量 | zhège yào kàn shùliàng | It depends on the quantity. |
| 我确认一下 / 我问一下老板 | wǒ quèrèn yíxià / wǒ wèn yíxià lǎobǎn | Let me check / let me ask my boss. |
| 现货 | xiànhuò | In stock (ready-made goods). |
| 定制 | dìngzhì | Custom made. |
| 亲 | qīn | "Dear": a friendly form of address common in online shop chats. |
| 不好意思,这个量太少了,做不了 | bù hǎoyìsi, zhège liàng tài shǎo le, zuò bu liǎo | Sorry, this quantity is too small, we can't do it. |
"Let me check" usually means a real answer is coming, often after the supplier talks to the workshop. A polite no on quantity is not the end: ask whether a stock design, fewer colors or a higher unit price would work. Our guide to ordering small from Chinese manufacturers has the wording.
WeChat vs Alibaba chat: what is the etiquette?
- Alibaba.com chat: most suppliers here expect English, but a Chinese line next to the English often gets a quicker, more precise answer. Keeping the conversation on the platform also keeps a record.
- 1688 chat (旺旺, Wàngwàng): sellers write in Chinese and are used to short questions about price, stock and shipping. Ask one thing at a time.
- WeChat (微信, Wēixìn): suppliers often suggest moving here. Introduce yourself in the first message when you add someone, and keep messages short. Voice messages are common, but text is easier to translate and keep.
- Timing: China is on one time zone (UTC+8). Messages sent during Chinese working hours get faster replies. Factories slow down or close around Chinese New Year, so plan around it (see our Chinese New Year 2027 guide).

Frequently asked questions
How do I say MOQ in Chinese?
MOQ is 起订量 (qǐdìngliàng). To ask, write 请问这款的起订量是多少? (Qǐngwèn zhè kuǎn de qǐdìngliàng shì duōshao?), which means: What is the minimum order quantity for this item?
How do I start a message to a Chinese supplier?
Start with 您好 (nín hǎo), the polite hello, then say who you are, what you want made and what you are attaching. Three short lines are enough.
Can I use a translation app to message suppliers?
Yes, but keep sentences short and simple, one question per line, and check the result with a back-translation. Fixed phrases like the ones in this guide are safer than long paragraphs.
Should I message suppliers on WeChat or Alibaba?
Alibaba and 1688 chat keep a record on the platform. Many suppliers prefer WeChat for quick questions. Either works; keep important details like price, specs and payment terms in writing.
What does 打样 mean?
打样 (dǎyàng) means making a sample to your specification. The sample fee is 样品费 (yàngpǐnfèi).
Can SuanSupply contact suppliers for me?
Yes. Send a free sourcing quote request with what you want made. We reach out to suppliers in Mandarin and email you what they said. Requesting is free; if you want more help, we quote that work first.
