How do you do a move-in inspection?
- Walk through togetherDo the inspection with the tenant on or before move-in day, room by room, before furniture goes in.
- Mark each itemWrite G, F, P, D, M or N/A in the In column and note any scratch, stain or chip.
- Take photosPhotograph anything that isn't Good and write the photo number in the notes.
- Sign and copyBoth sign the move-in lines and the tenant gets a copy. At move-out, fill in the Out column on the same sheet and sign again.
Should you print Letter or A4?
The free English PDF is US Letter (8.5 x 11 in), the paper used in the US, Canada and Mexico. On A4 paper (210 x 297 mm), choose Fit to page in the print dialog and it prints with slightly wider margins. The full version on Etsy is a spreadsheet in English and Spanish that prints its report on Letter or A4.
Use the same sheet for move-in and move-out. Seeing both conditions on one line is what makes a deposit conversation short and fair.

Who should fill in the checklist?
Landlord and tenant together, during a walk-through. If that isn't possible, one side fills it in and the other reviews and signs it within a few days.
Can the landlord charge for normal wear and tear?
In many places normal wear and tear can't be taken out of the deposit, and the rules on deductions and deadlines vary. Check your local rental rules before you deduct anything.
Should I print Letter or A4?
The English PDF is Letter and the Spanish PDF is A4. Either prints fine on the other size with Fit to page.
